Gerald Fitness Terms & Conditions

These Terms & Conditions apply to all personal training, online coaching, consultations, packages, bookings and services provided by Gerald Latifi trading as Gerald Fitness.

By booking a session, purchasing a package, submitting a PAR-Q health screening form, or using the Gerald Fitness Client Portal, you agree to the following terms.

1. Booking & Payment

  • All sessions and packages must be paid in advance unless otherwise agreed by Gerald Fitness.
  • Bookings are confirmed only once payment is received or once Gerald Fitness manually confirms the booking.
  • Bookings may be made through the Gerald Fitness Client Portal, WooCommerce, Amelia booking system, Stripe, payment link, bank transfer, or another method agreed by Gerald Fitness.
  • Clients can book available sessions up to 60 days in advance.
  • A minimum of 12 hours’ notice is required before booking a session online.
  • All personal training sessions and packages are non-refundable once booked, started, or used, except where required by law.

2. Package Expiry

  • All personal training packages expire 30 days from the date of purchase unless otherwise agreed in writing by Gerald Fitness.
  • Unused sessions after the expiry period are forfeited.
  • Extensions may be granted only at the discretion of Gerald Fitness.
  • Package credits are linked to the client’s account and cannot be transferred to another person unless Gerald Fitness agrees in writing.

3. Cancellation & Rescheduling Policy

  • A minimum of 24 hours’ notice is required to cancel or reschedule a session.
  • Late cancellations made less than 24 hours before the session may result in the session being deducted from the client’s package or charged in full.
  • No-shows will be charged in full or deducted from the client’s package.
  • Clients can manage eligible cancellations and rescheduling through the Gerald Fitness Client Portal.

4. Late Arrival

  • Clients arriving more than 15 minutes late may have their session cancelled.
  • The session may still be deducted from the client’s package.
  • If a client arrives late, the session may still finish at the original scheduled end time.

5. Health & Medical Responsibility

  • Clients must disclose all relevant medical conditions, injuries, medication, pregnancy, pain, dizziness, blood pressure issues, heart conditions, or physical limitations before starting training.
  • Clients must complete the PAR-Q health screening form before attending their first session.
  • If any health information changes in the future, the client must inform Gerald Fitness before booking or attending another session.
  • Clients confirm that they are medically fit to participate in physical activity.
  • Gerald Fitness is not a medical provider and does not provide medical advice.
  • If unsure about their health status, clients should consult a GP or qualified medical professional before participating.
  • Gerald Fitness may refuse, postpone, or adapt a session if there are health or safety concerns.

6. Liability Disclaimer

  • Participation in exercise carries inherent risks.
  • By engaging in personal training or online coaching, clients acknowledge and accept these risks.
  • Gerald Fitness is not liable for injuries sustained during training where advice, coaching instructions and safety guidance have been followed.
  • Clients train at their own risk and are responsible for informing Gerald immediately if they feel pain, dizziness, illness, discomfort or any unusual symptoms during a session.

7. Online Coaching Terms

  • Online coaching may include video consultations, communication support, and structured training plans.
  • Results are not guaranteed and depend on individual effort, consistency, nutrition, sleep, lifestyle and health status.
  • Clients are responsible for performing exercises safely when training independently.

8. Refund Policy

  • All sessions and packages are strictly non-refundable once booked, commenced or used, except where required by law.
  • Used sessions are non-refundable.
  • Late-cancelled, missed, or no-show sessions are non-refundable.
  • Unused package credits are not automatically refundable after the package expiry date.
  • If a client purchases a package or service online, they may have a 14-day cooling-off right under UK consumer rules. However, if the client requests the service to begin during the 14-day period, they understand that any sessions already provided, booked and used, or started may be charged and deducted from any refund.
  • If a service has been fully provided within the 14-day period with the client’s agreement, the client may lose the right to cancel that service.

9. Venue Clarification

  • Personal training sessions may take place at Anytime Fitness Abbey Wood or another agreed location.
  • Anytime Fitness Abbey Wood is the training venue only.
  • Personal training services are provided independently by Gerald Latifi / Gerald Fitness and are not sold, provided or managed by Anytime Fitness.
  • Gym membership, guest access, or entry requirements are separate from Gerald Fitness personal training fees unless otherwise agreed.

10. Code of Conduct

  • Clients are expected to behave respectfully towards Gerald, gym staff, other members and any other clients.
  • Gerald Fitness reserves the right to terminate services if behaviour is inappropriate, unsafe, abusive or disruptive.

11. Amendments

  • Gerald Fitness reserves the right to update these Terms & Conditions at any time.
  • The most current version will always be available on the website or Gerald Fitness Client Portal.
